Data Management
This page explains, in practical terms, what data we hold, how it's protected, and exactly how to control it. It complements our Privacy Policy.
What we hold
- Inquiries — the details you submit through the Request Crew form (name, company, email, phone, event dates, location, roles).
- Correspondence — emails and messages between us about an event or booking.
- Technical logs — standard server/security logs from our host.
As we add booking and payments, we'll hold the additional records those require (e.g. event and invoice details) and will list the processors here.
Where it lives (processors)
- Cloudflare — website hosting, CDN, and security.
- Email provider — to receive and reply to your messages.
- Planned as we grow: a managed database host, a messaging provider (SMS), and Stripe for payments. Each only processes the data needed for its function.
Retention
- Inquiries that don't become bookings: kept up to 24 months, then deleted, unless you ask us to remove them sooner.
- Client records: kept for the duration of the relationship plus any period required for tax, accounting, and legal purposes.
- Technical logs: retained on a short, rolling basis by our host.
Your requests
You can ask us to:
- Access — get a copy of the data we hold about you.
- Correct — fix anything inaccurate.
- Delete — remove your data (subject to records we must keep by law).
- Opt out — stop receiving communications from us.
Email [email protected] with the subject "Data request" and tell us what you'd like. We'll verify your identity (to protect your data) and respond within 30 days. These requests are free.
Security
We limit who can access your data, use reputable providers, and rely on encryption in transit (HTTPS). We don't sell data or use it for third-party advertising. If a data incident ever affects you, we'll notify you and the appropriate authorities as required by law.
